Requests for refunds must be submitted in writing (via email) to Youth Programs no later than one month (30 days) prior to the first day of camp. No refunds are issued for requests received within one month (30 days) of the first day of camp. All approved refunds are assessed a fee of $25 per child, per camp.
Campus Closure Policy
If the University cancels academic classes (closes campus), we will likely cancel all recreational programing and close certain facilities, etc. Efforts will be made to reschedule canceled classes/activities once campus re-opens. No refunds or prorations for a membership or canceled classes/activities will be issued.
Cancellations
- Camp sessions may be cancelled due to public health epidemic or pandemic, natural disaster, public safety restrictions, and other unforeseen circumstances. Full refund available.
- Camp sessions may be canceled if minimum enrollment is not met. Full refund available.
- If a camp day or session is canceled due to weather and no make-up class is offered, a refund will be provided; but no refunds are offered for weather related concerns if the program is running as scheduled.
Other than providing the refunds described, the Campus Recreation and Youth Programs is not responsible or liable for any losses arising out of such cancellation of Youth Programs and will not provide any other compensation. Refunds will be made directly to the credit card or original form of payment that was used in the purchase; there is no action needed by the customer to receive a refund. All refunds will be completed within 15 days of the customer being notified.
Medical Refunds
Requests for refunds, credits, or transfers in cases of illness or injury are considered up to the first day of camp only when accompanied with a doctor’s note and letter from the parent/guardian requesting the exception.
Transfers
Requests for a transfer from one youth activity to another will be charged a $25 processing fee. Transfers will only be completed if there is a spot available in the desired camp to which the camper will be transferred. Requests for transfers must be received in the Youth Programs office no less than 21 business days prior to the first day of camp to qualify.
Waiting Lists and Participant Substitutions
Waiting lists will be created once an activity fills. If space becomes available, we will begin calling people on the waiting list. Participants may not be registered for a camp and remain on a waiting list for the same week. Only participant substitutions between qualifying siblings (age and skill appropriate) are allowed.
Camp Rules and Expectations
Medical Insurance
All campers are required to have current personal medical insurance during their time at camp.
Electronics Prohibited
Electronics (e.g., cell phones, hand-held video games) are prohibited in camps and will be confiscated by camp staff, to be returned at the end of the day.
Dismissal From Camp
On occasion, dismissal from camp may be necessary for behavioral reasons. If a camper is dismissed for disciplinary reasons, there will be no refund for the unused days.
Other Policies and Regulations
Program Policy
The State of California requires that sponsors of recreation programs inform parents of the nature and structure of programs in which their children are participating. Childcare and recreation are differentiated by the State and the differences are included in a manual called The California Community Care Licensing Manual. Programs that meet the definition of childcare must be licensed by the State. In order to become licensed, a program must meet a variety of requirements related to facility, staff and program structure. In recreation activities, children have the right to come and go from the facility, and staff will not supervise children to prevent them from leaving the facility when they desire. The State also requires that the sponsor of the program have a signed statement from each parent/guardian that they understand the conditions under which the facility operates and that it is not a licensed childcare facility.
